Associate Program Specialist #1029311Job Description:
- The Associate Program Specialist enhances the effectiveness of the program management function by performing standard and ad hoc administrative tasks essential for program success.
- This role supports program management and customer activities through the coordination of prototype builds, SAP and Winshuttle data entry, and new program/part registration tasks.
- They track material required dates, maintain detailed shipping schedules, and ensure timely delivery by monitoring customer purchase orders.
- Additionally, they work collaboratively with project teams to resolve issues, recommend solutions, and contribute to process and procedure improvements.
Accountabilities:
- Responsible for supporting administrative, clerical, and basic analytical tasks related to program administration.
- Proactively supports activities related to prototype and preproduction builds required to enable successful on-time delivery. These activities typically require using Email, MS Excel, and SAP.
- On request, register Program Names, Development Codes, and Planning Numbers to support business planning and program administration using Excel and GMM/GiTA Salesforce.
- On Program Manager request, supports new model/part registration and model revisions, using Excel, Salesforce, Winshuttle, Agile (Oracle), and SAP.
- Tracks Customer Material Required Date (MRDs), maintains detailed ship schedules for internal and external customers and tracks customer purchase orders to ensure complete and on-time part delivery. Supports invoicing and material disposition as directed by the Lead Program Specialist or Program Manager. This task typically requires using Customer Portals, Shipment Scheduling Tools, Excel, Email, SAP, and DMS (Development Management System).
- Support the administration of the Global Project Management Process (GPMP) and Program Launch System (PLS) by registering GPMP Programs and Projects in the GPMP-PLS Application.
- Support corporate performance measurement by creating and maintaining Baseline, Plan, and Actual (BPA) timing data in the GPMP-PLS Application as directed by Program Managers and the Program Management Office Leadership.
- Works with project team members to identify open issues and drive resolution within or adjacent to assigned activities.
- Performs other related duties as assigned.

- Review procedures, materials, or processes to assure compliance to all specifications and standards.
- Comply with and enforce all procedures and work instructions.
- Respond to quality and work issues and take corrective action as appropriate.
- Has the organizational authority to identify and segregate, as necessary, suspect or non-conforming material (for example components, saleable product, specifications, controlled documents, etc.) and to notify the appropriate authority (manager, etc.) for instructions.
Safety and EPA compliance:
- Maintains tools, equipment, and work areas in a neat and orderly manner and observes all work related safety practices and procedures.
- Will comply with all applicable Company safety policies, rules, and regulations.
- Must comply with all Federal, State, and local environmental laws and regulations and relevant company procedures and instructions related to the environmental management system and contribute to the achievement of the relevant environmental objectives and targets established by the Company.
- In addition, provides the leadership and resources for such activities as applicable.

Problem-solving/know-how:
- A two or four-year college degree in business, administration, management, operations, engineering, technology, or a quality-related field, or three (3) years of previous experience in program/project or office administration is preferred.
- High school diploma or GED required.
- Some demonstrated leadership ability is required.
- Demonstrated proficiency with Microsoft Tools, including Teams, SharePoint, Word, Excel, and PowerPoint, is required. Experience with, or aptitude for, Microsoft Project, Visio, and PowerApps preferred.
- Aptitude for SAP required. Prior experience with SAP or other End-to-End ERP/MRP tools is preferred.
- A general understanding of overall automotive product development and working knowledge of Automotive Exchange/Covisint is preferred.
